the project wallet is the hub for your project team. you create it, you manage it, and everything flows through it — from the Owner's funding down to the last Sub invoice. this is step one before anything else can happen.
how to open a project wallet:
1. go to projects and tap new project
2. fill in the project name, property address
3. tap “create project” & the project wallet is created
💡 no money moves yet — the project wallet opens at $0. funding comes after the Owner approves the contract.
programming a project wallet (CSV upload)
the contract you build here is what your Owner reviews and funds, and what every Sub and Supplier gets paid against.
to program a project wallet using the CSV upload the Contractor:
- takes the prime contract (between the Contractor and the Owner)
- organizes the scopes into sequential phases
- maps the columns to the template .CSV file
- uploads the contract & saves the work
programming a project wallet (manually)
to program a project wallet manually the Contractor will enter the “prime” contract between themselves & the Owner - each line-item scope & value of labor, material, or overhead – by phase.
how to manually program a project wallet:
1. from the project page, tap new contract. name it and save — the contract opens in draft.
2. tap add phase and enter the name
3. inside each phase, tap add line item. for each scope item, enter the name, type (labor, material, overhead, or note), unit type, unit cost, and quantity.
4. repeat for every phase and line item until the full scope is coded.
5. when complete, tap submit to Owner. the contract moves from draft to proposed.
💡 “overhead” line items are your fee — they release directly to you when the phase is approved.
💡 “note” line items are informational only (allowances, exclusions) and carry no dollar value.
invite the Owner
your Owner needs to be on the project to review the contract, approve phases, and fund the wallet. send the invite as soon as the project is created — they can review the contract as you build it.
how to invite:
1. from the project page, tap “invite Owner”.
2. enter their email, select the Owner role, and tap send invite.
3. your Owner receives an email with a link to join the project.
submit contract for approval
once the contract is fully coded, submit it to your Owner for review. this is the moment you hand over the RAILS for their approval — they review every phase and line item before approving.
how to submit:
1. open the contract and review it one final time.
2. tap submit to Owner. status changes from draft to proposed.
3. your Owner is notified that the contract is ready for review.
⚠️ once submitted, you can't edit the contract until the Owner approves or sends it back. get it right before you submit.
