scope changes, surprises, and additions are part of every project. change orders keep the RAILS intact when things shift — updating the contract or subcontracts cleanly, with a full audit trail for everyone.
changing the contract with your Owner
when the contract scope, cost needs to change, a change order keeps it official & documented.
modify existing work
how it works:
1. open change orders on the project page and tap new change order.
2. link it to the relevant phase and enter the budget delta, duration change, explanation, and any supporting attachments.
3. submit to Owner. they review and approve or send back for revision.
4. on approval, the phase budget updates instantly. - if it adds cost, the Owner funds the delta.
add new work
how it works:
1. submit a change order with the new scope and cost to your Owner.
2. on approval, the new scope is added to the contract.
3. the Owner funds the new scope and you code the additional line items or phases.
remove work
how it works:
1. submit a change order with a negative budget delta and explanation.
2. on Owner approval, the scope is removed and the contract value adjusts accordingly.
⚠️ phases already submitted for approval cannot be modified by change order.
changing a subcontract with a Sub / Supplier
when the agreed scope or cost with a Sub or Supplier needs to change, either party can initiate a subcontract change order.
how it works:
1. open the subcontract and tap request change order (or review an incoming one from your Sub).
2. enter the cost delta, explanation, payment term if applicable, and any attachments.
3. submit. the other party reviews and approves or sends back for revision.
4. on approval, the subcontract updates and — if you chose approve & pay — funds transfer instantly.
💡 the full back-and-forth on every change order is preserved as a permanent audit trail.
